Laroma AI built a custom web portal for a North Vancouver strata council to preserve maintenance history across rotating volunteer council members — so anyone can answer when did we change the roof or service the chimneys without searching hundreds of financial documents.
The problem
Council members are volunteers who change every few years, so tribal knowledge of when work was done was lost. Strata property management companies only track work orders and maintenance records in monthly financial statements and monthly meetings — which do not provide an easy retrieval method when you need to know when we changed the roof on that building, or when we serviced the chimneys. Unless you were willing to go through hundreds of financial documents and old meeting minutes for a large, older strata, the answer was effectively gone.
What we built
We built a custom web portal where council members log completed maintenance with dates, building, trade, and photos — creating a searchable history independent of monthly statements. New volunteers inherit years of context in minutes, not months of document archaeology.
Outcomes
✓Searchable maintenance history across buildings and trades
✓New council members inherit context when volunteers rotate
✓No more digging through hundreds of financial statements for one answer
